Terms & Conditions

Please kindly ensure that you have read and understood the terms and conditions of “The Hair Dr – Hair Transplant Clinic LTD” before making a decision about proceeding with a hair transplant at our clinic. At the end of this form, we request you sign and date a declaration stating you have read, understood and agree to these terms and conditions. Of course, if you have questions about the contents of this document please feel free to ask the practice manager or surgeon.

Understanding and Acknowledgement of the Procedure

The nature of the procedure will be explained to the patient as well as its risks and permanent nature.

The patient will receive written pre-operative instructions and will read and confirm that they are fully understood, these need to be returned no later than 14 days preoperatively.

The patient will receive a written medical history form to complete at the time of reservation. The patient must inform the clinic in advance of their procedure of all medical conditions he/she is aware of including, but not exclusively:

  • Allergy/Hay fever
  • Anaemia
  • Asthma or wheezing
  • HIV/AIDS or ARC
  • Back problems/pain
  • Bladder infection
  • Bleeding tendency/clotting
  • Bone or Joint deformity
  • Breathing difficulty
  • Broken bones/bone disease
  • Burning or frequent urination
  • Cancer, cyst, growth or tumour
  • Cataract/Glaucoma
  • Change in bowel habits
  • Chest pain or pressure
  • Chills, fever or night sweats
  • Chronic cough
  • Constipation
  • Coughing or vomiting blood
  • Diabetes
  • Difficulty in sleeping
  • Dizziness/fainting spells
  • Double vision or blindness
  • Epilepsy/convulsions
  • Excessive tiredness/fatigue
  • Eye injury or disease
  • Family history of cancer
  • Family history of high BP
  • Frequent colds or headaches
  • Frequent indigestion
  • Gout
  • Head injury
  • Heart murmur/mitral valve
  • Heart trouble/disease
  • Hepatitis
  • High blood pressure
  • Hormonal problems
  • Keloid scarring
  • Kidney disease/stones
  • Liver disease or jaundice
  • Loss of appetite/nausea
  • Lung trouble/disease
  • Neuritis (nerve inflammation)

  • Phlebitis of vein
  • Pneumonia
  • Problems during surgery
  • Prolonged hoarseness
  • Psychiatric/emotional problems
  • Recent weight gain or loss
  • Repeated diarrhoea
  • Rheumatic Fever/Arthritis
  • Ringing in the ears
  • Scarlet Fever
  • Severe ear, nose, throat trouble
  • Sexually transmitted disease
  • Sinus trouble
  • Skin rash/disease
  • Shortness of breath
  • Sugar or Albumen in urine

The Hair Dr shall not be held liable for any damage occurring as a result of the patient's failure to disclose medical information or other such details.

The patient will inform the clinic of all medications taken in the last 30 days.

The patient should avoid taking Aspirin or Ibuprofen from seven days prior to their procedure and must inform the clinic if they have done so.

The patient should avoid smoking and alcohol from seven days prior to their treatment and must inform the clinic if they have done so.

The patient should avoid the use of Minoxidil from seven days prior to their treatment and must inform the clinic if they have done so.

Pre and post-operative patient photos will be taken and are to be used at the clinic's discretion and in accordance with its legal requirements for documentation purposes. The patient can request for his or her identity to be kept private.

Each patient is required to send weekly pictures for the first 4 weeks then monthly pictures till the 12 month period.

All photos taken at the clinic are kept within medical records for 5 years. After this, both online and hard copies are deleted as per our GDPR policy. Please see our website for further details.

The Hair Dr Clinic reserves the right to amend the terms and conditions or pricing structure at any time and without any prior notice.

Treatment

A hair transplant procedure is the choice of the patient alone and the patient agrees to any actions or conducts reasonably necessary to perform the treatment.

The patient understands the limitations of hair restoration surgery and the expected outcome of treatment prior to commencement. A particular outcome cannot be guaranteed as results may vary between individuals.

Contact with the clinic is on weekdays only between 9am-5pm unless there is a medical emergency during out of hours.

Washing the head on day 7 must be done carefully by soaking the grafts with the shampoo provided. Each patient must NOT damage the grafts by aggressively washing and lifting any scabs from the scalp.

The grafts/donor area cannot be scrubbed at any point. You must soak the area for 30 mins before washing through using a jug and a gentle/soft method. Pictures must be sent before and after each wash until all scabs have come off.

The patient understands that a hair transplant procedure merely transplants existing hair from the donor area to the recipient. This process does not have any control over the future, continued and progressive loss of existing hair on the scalp.

Hair transplantation is a medical redistribution procedure... The results will depend on the ratio between the demand (balding area) and the supply (size and density of the donor area), as well as on the patient’s natural healing ability. The final number of grafts transplanted is dictated by the surgeon only during the procedure.

When undertaking the transplant, you are paying for our expertise and experience in hair restoration, but not for a specific result. All photographic examples shown are for illustration purposes only. We do not guarantee a result as there are many biological and physiological factors that cannot be controlled.

It is not possible to implant hairs too closely together as some space has to be allowed for healing. Most patients require 2 or more procedures.

The patient understands that there may be discomfort, bleeding, redness, numbness, crusting and swelling. Hair restoration procedures may result in detectable scarring. Scalp micro pigmentation may be needed to help camouflage scarring.

Over the long term, the transplanted hair will mirror the behaviour of the hair in the donor region. There is no guarantee that the transplanted hair will last a lifetime.

For best results, the patient must comply with our written and verbally given bespoke aftercare instructions. The Hair Dr clinic will not be held liable for any associated costs connected with having aftercare or follow up treatment.

The clinic reserves the right to cancel the procedure in the interest of patient safety if the patient is under the influence of drugs/alcohol or failed to disclose medical conditions. In such events, the fees paid will be non-refundable.

Haircut Guidelines:

  • After the surgery the top of the hair CANNOT be cut/trimmed with clippers until after 12 months post operation.
  • The back and sides can be scissor cut only after 6 weeks after confirmation from the clinic.
  • Back and sides can be trimmed down to a grade 4 only after 12 weeks, again after confirmation.
  • The clinic must be contacted before any haircut/trimming is done.

Medical Regime:

Hair loss is a journey and each patient must commit to a full medical regime which includes:

  • Oral and topical Finasteride
  • Oral and topical Minoxidil
  • All Supplements – Biotin, Saw Palmetto, Vitamin D, Vitamin B, MSM & Zinc
  • A tailored washing regime based on the healing process.

If the patient suffers from a dry/itchy scalp or frizzy hair, the full onus is on the patient to contact the clinic for further advice. All general advice will be tailored to suit individual needs.

Payments

The patient will be quoted a fee during a personal consultation or by photo analysis. The Hair Dr clinic will complete the work for that fee.

A non-refundable minimum deposit of £200 must be paid in advance to secure the patient's chosen procedure date. The deposit sum can be paid by card over the telephone, by cash in person or by bank transfer.

The balance must be cleared 14 days prior to the procedure. Bank transfers must be initiated in advance to ensure all funds have cleared by the chosen procedure date.

We accept: Visa and MasterCard, cash and bank transfers. We do not accept checks, American Express or Laser cards. Card payments must be accompanied by photographic ID.

If paying by card on your procedure day, please advise your bank of the payment in advance. Any issues with blocked transactions may result in the cancellation of your surgery and the retention of your non-refundable deposit.

If you cancel your procedure on the day, a 50% penalty will be charged. If all your forms are not completed and payment has not been received, we have a right to cancel your procedure.

Appointments and Cancellations

A non-refundable minimum deposit of £200 will be charged to secure your booking. Should you cancel once the deposit has been placed or fail to arrive, it will be retained as a cancellation charge.

The deposit is non-refundable. Cancellations due to emergency or illness will be assessed on an individual basis. In all other instances, if you request cancellation, the deposit sum will be retained by the clinic.

The Hair Dr will endeavour to ensure that your procedure runs to schedule, however, we may need to cancel or postpone your procedure at short notice. We do not offer you any form of compensation if we cancel your procedure.

The Hair Dr clinic reserves the right to amend booked surgery dates. In the unlikely event of a surgery date amendment, the deposit sum and other payments will be transferred to the next available date but not refunded.

The Hair Dr clinic will not be liable for costs arising from scheduling changes, including travel costs, accommodation costs, or loss of potential earnings.
